Administrative Assistant & CanCURE Project Manager position (Maternity Leave Replacement)

An Administrative Assistant and Project Manager position is available for the administrative management and support for two research directors as well as scientific coordination of the Canadian HIV Cure Enterprise (CanCURE). Reporting to the Human Resources Department, the person performs the usual secretarial duties and simultaneously manages several files relating to research. She assists the directors of research units in their administrative functions as well as manages the administrative core for the CanCURE project. 

Administrative Assistant tasks: 
In this position, the incumbent will assist Drs. Éric A. Cohen and Marie Kmita, research directors at the Institut de recherches cliniques de Montréal (IRCM), in providing strong administrative and organizational support. Responsibilities will include:

  • Coordinates the logistics of conferences, meetings and committees in collaboration with the researchers; Ensures the follow-up of the decisions taken during meetings;
  • Plans and manages two graduate level courses with the researchers. This includes, but is not limited to, communicating with various professors, retrieving presentations and additional documents, organizing exams and student presentations;
  • Manages administrative, management and secretarial tasks; establishes and put in place organizational structures (electronic and paper formats) for the development of projects / activities;
  • Establishes and maintain an efficient filing system for correspondence and research documents;
  • Prepares drafts of letters for the approval of the Researcher (sporadic);
  • Performs all other related tasks that may be entrusted to her/him by the Researcher.

CanCURE Project Manager tasks:

  • CanCURE groups together a team of leading Canadian HIV/AIDS researchers who are undertaking an interdisciplinary and innovative research program to find new and effective approaches to cure HIV infection in humans. The CanCURE program, whose host institution is the IRCM, is funded through the Canadian Institutes of Health Research (CIHR). In this position, the incumbent will assist Dr. Éric A. Cohen, CanCURE’s nominated principal investigator, in providing strong administrative and organizational support for the successful coordination of the CanCURE scientific program. He/she will oversee CanCURE administrative’s core and, more specifically, responsibilities will include:
  • to promote close scientific collaboration, exchange and communication through, among other things, the implementation and maintenance of a CanCURE website;  
  • to establish and maintain systems for allocating resources, sharing study output and monitoring scientific productivity; 
  • to manage relationships with external partners and to support the creation and coordination of a high-quality training and mentoring environment for the next generation of biomedical researchers and community members in HIV Cure Research; 
  • to prepare regular reports required for the CanCURE grant, assist with budget management and provide liaison with the IRCM Finance department. This includes preparing and managing all financial transfer agreements and well as collecting and keeping track of all yearly financial reports.
  • to prepare, document and host monthly progress report meetings, steering committee meetings and community meetings.
  • to fully plan, organize and execute a yearly annual general meeting; this includes but is not limited to managing and booking hotel stays, managing and booking travel, managing and organizing catering, working in close coordination with the IRCM staff to plan out logistics, keeping close communications with researchers and students to manage presentations, abstracts and posters. Applying for additional funding with pharmaceutical companies when needed. 

Given the central role of this position, the Project Manager will have to acquire a thorough knowledge and understanding of the CanCURE research focus to enhance his/her effectiveness.

Qualifications required:

  • Hold a Bachelor's degree in science or other relevant field. 
  • 5 years of relevant experience
  • knowledge of the scientific research environment is a plus
  • Advanced knowledge of Microsoft Office
  • Fluent in English and French (oral and written)
