Reporting jointly to the Human Resources Department and Dr. Seidah's laboratory, the person must perform the administrative tasks of the laboratory and simultaneously manage several files relating to research. He or she will assist Dr. Seidah and his unit most of the time, but may also be called upon to collaborate with the directors of other research units in their administrative functions.
The main functions are related to grant applications, scholarships from granting agencies, updating the curriculum vitae of directors according to the required formats, editorial assistance for articles to be submitted requiring knowledge of bibliography software such as EndNote and Referral Manager. He or she will necessarily have to participate in meetings.
Specifically, the person is expected to:
• Manages the files (archiving, etc.);
• Manages and coordinate applications related to various scholarships and grants;
• Writes, revises and update documents (press releases, briefing notes and bilingual letters);
• provides and maintain an efficient filing system and coordinate administrative procedures to facilitate the work of other units (use of standard forms);
• Coordonates and implement organizational structures (electronic and paper formats) for the progress of projects/activities and establish a work schedule;
• Participates in the logistical organization of various events (team meetings, committees, assemblies, travel, public relations activities, etc.);
• Prepares and send the agenda and all relevant documents for the meetings;
• Ensures the follow-up of the decisions taken during the meetings;
• Supports the researchers in the management and follow-up of their agenda, their calls, their e-mails and their mails;
• Collaborates in the preparation of the annual budget and budgetary follow-up during the year (analysis and justification of variances).
• Performs any other related duties that may be assigned to it by the Researchers.
Profile required
- Organizational skills, ability to manage priorities.
- Relevant experience in the pharmaceutical industry or in a research laboratory.
