THE CAN'T-MISS SCIENTIFIC EVENT OF THE YEAR

The 2025 Scientific Forum will be held once again at the breathtaking Grand Lodge Mont-Tremblant, on June 5 and 6. Scientific presentations and festivities will create an engaging environment for the IRCM community to connect, exchange ideas, and foster collaborations.

 

Who can attend?

Anyone interested in science!

Nonetheless, the event can only accommodate a maximum of 150 to 160 participants, both to stay within our allocated budget and to account for the seating capacity of the conference rooms and dining areas. Priority will therefore be given to research unit directors and trainees.

Before signing up to attend the Scientific Forum, please read the following information carefully. 


PARTICIPATION FEES
The cost of a participant's entire stay at the Grand Lodge (accommodations, meals, etc.) depends on room occupancy:

  • Single occupancy = 458,51 $/person
  • Double occupancye = 355,53 $/person
  • Triple occupancy = 321,20 $/person
  • *** Quadruple occupancy *** = 304,04 $/person
  • No accommodations = 252,55 $/person

*** This option involves bedsharing. See the description of Grand Lodge suites at the end of this section.


To encourage attendance, the IRCM will cover the majority of these costs, reducing participation fees to 75$ only (with a few exceptions and restrictions, as listed in the table below).

Registration terms: Any late request for registration, i.e. received after April 28, will be evaluated on a case-by-case basis. If you plan on recruiting interns for the summer, please register them ahead of time. No cancellation will be possible after May 3; beyond this date, full participation fees will be charged. 

Participation fees cannot be subdivided and include: Accommodations for one (1) night, one (1) buffet-style breakfast, two (2) buffet-style lunches, one (1) three-course banquet dinner, two (2) coupons for the cocktail hour, two (2) breaks with coffee, tea & juice or soft drinks, one (1) coffee break with snacks, one (1) break with munchies, hotel fees (3.5%) and access to the pool, indoor whirlpool, sauna, game room, gym, tennis field, beachfront of Lake Ouimet and watercrafts.

Description of suites at the Grand Lodge Mont-Tremblant: All suites contain a private balcony, a fully equipped kitchen, a gaz fireplace, three separate beds and two full bathrooms:
One (1) king-size bed in a separate room, with its own private bathroom
One (1) double-size, pull-down wall bed in the living room area, next to the 2nd bathroom
One (1) double-size, pull-out sofa bed in the living room area, next to the 2nd bathroom

The main purpose of the Scientific Forum is to allow members of the research community to spread knowledge, to highlight the breakthroughs of their projects and to receive constructive feedback from their peers, in a relaxed setting. It's also a chance to win one of the several cash prizes that will be awarded to the best presentations!

Before submitting an abstract, please read the following information carefully.
 

PRESENTATION FORMATS
The program of the Scientific Forum will combine three presentation categories ***:

  • ‘Standard’ talks (maximum of 10 minutes + questions)
  • ‘Flash’ talks (maximum of 5 minutes + questions)
  • Poster presentations (maximum of 5 minutes + questions)

*** You can indicate your preferred category on the submission form. See details on how presentation formats will be assigned, at the bottom of this section.


GUIDELINES FOR THE ABSTRACT
You must use the abstract template provided by the organizing committee to prepare your submission. The template is available in French and in English, depending on the language of your presentation.

The first page contains mandatory specifications (ex: required elements, word limits, etc.). Any abstract that does not follow the template and its guidelines will be returned for modification, or refused if the submission period is closed.

Abstract submission terms: Abstracts submitted after the deadline (March 31 @ 23h59) will not be considered for an oral presentation. Late requests for poster presentations will be evaluated on a case-by-case basis.

Presentation format allocation: A selection committee composed of unit directors and research professionals will examine all submissions and distribute them across the different presentation categories, while taking into account participant preferences, as indicated on the submission form. The decision-making process will involve the following considerations:

  • Abstracts submitted for poster presentation will be automatically accepted for this format and will not be considered for a talk;
  • Abstracts submitted for a talk (‘standard’ or ‘flash’) will be selected based on the scientific calibre and theme of the research work, to create a program that is as stimulating as diversified and that ensures fair representation of all research units;
  • Participants who did not give a talk at the 2024 and 2023 editions of the Scientific Forum will be given top priority; 
  • Allocation of the ‘standard’ versus ‘flash’ formats will be based on how far along the presented work is; 
  • Abstracts not selected for a talk (‘standard’ or ‘flash’) will be automatically assigned to the poster presentation category;
  • No submitted abstract will be refused, unless it does not meet the expected standards of the Scientific Forum. 

Presentation evaluation: Oral presentations will be split into sessions per category (‘standard’ or ‘flash’) and, if the selected set of asbstracts allows it, based on the status or training level of the speaker. Poster presentations will be divided into groups using the same logic. Each presentation will be evaluated within their session or group by a jury composed of two judges, using a standardized and quantitative scoring rubric.
